EYFS Pre-Inspection Report: Managing Settings

Evaluating and preparing data ahead of school Inspections is a time consuming task for data managers. At Learning Ladders, we try to give you the tools to concentrate on teaching and learning, taking the strain from other aspects of your day-to-day work.  The Pre-Inspection report is one of these tools.  It will allow you to replicate the local inspectorate requirements, from the inspectorate expectations, to the Inspectorate judgement number and label and provide a quick and easy to use report.

To ensure the report is as accurate as possible, the settings for the report need to be confirmed.

Local Inspectorate Judgements & Expectations


Within these settings you can:
  1. Set (Add/Remove) the number of judgements your local inspectorate use
  2. Amend the colour, code and label for each Inspectorate judgement
  3. Set the percentage of students required to meet each judgement
    1. Including a secondary 'Above' expectation

When this feature is first activated, there are six judgements and default expectations.  To make any changes to this section, you first need to click the 'Edit' button.   Once this button is clicked, all the editing functions for this section become available, as below.

 
The above screen is what you will see once you have clicked 'Edit'.  Each section can be edited and below is what each numbered reference relates to:
  1. The 'Cancel' and 'Save' buttons appear when the section is in edit mode.
    1. Any changes to this section will need to be 'Saved' or 'Cancel'
    2. If you move away from the page before you 'Save', all the changes will be lost
  2. 'Add new' inserts a new Inspectorate Judgement at the bottom of the list with default colour, code and name. 
    1. Maximum of 8 judgments can be used in this current set up.
  3. 'Remove' will delete the last judgement in the list (at the bottom) and amend the final judgements expectations accordingly.
    1. A minimum of two judgements can be used in this current set up
  4. When this section is in 'Edit' mode, if you click on the colour box, a selection of other colours are presented that can be chosen as needed.  
    1. If the colour you want to use is not displayed, you can use a hex colour reference code.  There are many tools to help you pick a colour and a simple search for 'hex colour picker' will give you many options to choose from. 
  5. This is the code (4 characters) and label for the inspectorate judgements.
    1. You can use any specific code or label you need, but each is limited to a number of characters, 7 and 20 respectively
  6. This allows you to specify what the percentage of 'Above and Expected' students needs to be to meet for each of the inspectorate judgements. Once in edit mode, + and – symbols appear next to each value, which will be inline to a judgement label/code and colour.
    1. The first judgements values are managed by amending the second judgements values up or down

    2. When setting these up, it is easier to start from the bottom/lowest judgement (top of the section which in this case is 'Very Weak'), and work up.  This avoids having to amend multiple values as they cannot be entered manually, so need to be raised or lowered individually.
    3. Currently, its not possible to have greater than (>) or lower than (<) values of the same number for multiple judgements.
    4. When the system is calculating a judgement, it will use this value (percentage of students at above and/or expected) as the control to the result. eg, if the percentage of students is 56% = Weak, no matter what percentage are above, Weak is the maximum judgement that can be achieved.
  7. As with the previous percentage values for 'Above and Expected', the settings for 'Above' operate in the same way.  For each judgement, set the desired percentage needed to achieve the respective judgement.

Once you have completed the settings in this section, ensure you click Save, otherwise your amendments will be lost.

Attainment and Progress Mapping



This section of the report's settings, allows schools to map their attainment and progress judgements to the Inspectorate Grades, which are set as 'Below', 'Expected' and 'Above'.  When you first visit this page, the default settings will be in place, which is 'Below' mapped for all judgements.

Once you click 'Edit' (indicated with a 1 on the below image) the options to choose one of the three grades will appear on screen and you can then confirm which of the schools judgements maps to which Inspectorate grade.



To  map or change attainment or progress to a grade, simply click the respective grade value dropdown and choose the grade that should be mapped to that school judgement.  In the above image, 2 and 3 relate to the grades for Attainment and Progress respectively.  These settings should be checked and amended when you first start to use this report, but can be changed at any time.

Once you have completed the settings in this section, ensure you click Save, otherwise your amendments will be lost.

Once you have completed the mappings, the page should look similar to the below.  Bear in mind, in this example, the school only has 4 attainment and progress judgements.  If your school has more, then all those in the system will be listed and need to be mapped.



Inspectorate Grades

As part of this report, a new grading system has been introduced, to match that of the respective inspectorates that use reports like this.  There are 3 grades, which you can edit the colour and name for.  No other edits are possible at this time.

To edit the colour or name, click the 'Edit' button and the edit modal will open, as below.  From within this modal, editing the colour or name is the same as has been done for other settings within this report, click the respective box/cell and the options will display on screen. 

How Do These Settings Operate Together?

This report, while similar to other reports, is more complex and uses an additional 'filter' or step in the process to generate results.  This is the only report where there is a middle 'step', that requires school judgements to be converted into 'Inspectorate' grades, that then are used to generate the result, Inspectorate Judgement.
