It's time to start a new academic year, but before that, an admin user will need to migrate your students into the 2024/25 academic year.
Migration is a process within Learning Ladders wherein we move your pupils up by one year, and amend any classes or users you might need to.
If it is your first time migrating the system it may be helpful to watch our recent Migration Workshop 2024.
Do we have to migrate before we can access Learning Ladders?
No! This year we have given schools the option to 'Postpone Migration'. When an admin user logs in, they will be presented with the 'Welcome back...' page, which will provide a link/option to 'Postpone Migration'.
By postponing migration, admin users will be able to access a READ/VIEW only version of their Learning Ladders site. When you are ready to migrate, there is an option on the 'Home' page, in the red banner at the top of the page to 'Migrate Now'.
If I start migration, can I postpone migration during the process?
No, once you have started migration you will need to complete the process. It will not be possible to access the site or undo what has been migrated once the process is started.
If we Postpone Migration, can we download data or students?
Yes and No. You can access and download data from Assessment Summary or Insights within both EYFS or KSI=/Grade I+. You cannot download students lists from within the site.
How long does it take?
The migration process should take no more than 10 minutes to complete as long as you have all the required information, most importantly, 2024/25 class names.
If you can't complete the migration process once you have started. you can always come back to the step you were on.
Who Migrates?
Only a school Learning Ladders admin can migrate the site. All other users will receive a message advising that Learning Ladders needs to be migrated before they can access the service.
When do you start Migration?
Your site will be available to migrate into the 2024/25 academic year from 1st August 2024 (unless your school has a different academic year to September to August).
From this date, until a site Administrator migrates your site, teachers won't be able to access any Learning Ladders features.
How do you Migrate?
When an Admin logs-in, the first and only page you will see will welcome you to the new academic year and confirm you need to migrate Learning Ladders (or postpone, see note above). To proceed with migration:
- Select “Fill Contact Form”. Select an existing user or enter the details for a new user for each of the following: Learning Ladders Lead user, School Accounts contact (manages school invoices), School Leader/Principal. Then, click 'Save and Start Migration'
Do we need to migrate Learning Ladders if we have the Wonde MIS integration?
Yes, both your Learning Ladders system and MIS need to be migrated separately.
All MIS Integrations will have been revoked on 31st May 2024 to allow your MIS to roll over students and your admin user to migrate Learning Ladders. An admin user can migrate your Learning Ladders site from 1st August.
Cohorts will still need to be rolled up to a class name available in your MIS during migration e.g. 3A to 4B. If students are to be mixed into different classes for 2024/25, this will automatically happen once your MIS integration is enabled
If you are using the MIS sync, it is imperative that the class names in your MIS match those that have been added during migration. If they do not, it is likely that new classes will be created that do not link to the previous academic year class.
If we have mixed classes and need to update users, what should we do?
After you have migrated students, classes and users, you will be presented with the ‘Successful Migration’ page. On this page, there are links to access and download your students and users.
The student download file can be used to update students classes, groups and attributes, including custom attributes. The user download file can be used to update the classes they will be linked/responsible for.
Can we create new classes with the same name/lable during the migration process?
No! All class names need to be unique when working through migration. If you try to use the same name, an error message will appear and you will not be able to proceed until the duplciate name has been corrected. If you are unsure what the eventual class names will be, do not worry. After migration, you can edit the class names created during migration process, so they are correct/what you need them to be.
What should we do if we want to re-enable our MIS Integration?
Following migration, your admin user should email support@learningladders.info to request the MIS integration be activated again. On the successful migration page, there will be a link that will allow them to do create a new email to our support team, who will be pleased to help.
What about archiving leavers?
As part of the migration you are able to archive cohorts/classes who have left the school. Once your MIS integration is enabled post migration, the integration will archive any students (currently iSAMS MIS is not able to do this) who have a leavers date in the leavers field in your MIS. If the student is not marked as a 'leaver' and you have not archived the cohort during migration, then you will need to mark a leaving date in your MIS for this to update Learning Ladders.

STEP 1: Migrate your students up a year
- Before you migrate all students up by one year/grade, you will have the option to not migrate pre-school students. •
- For students in Pre-School that you do not want to migrate, it's possible to retain them in the pre-school year. Follow the onscreen instructions to do this.
STEP 2: Update your class names
- Rename or mark the class as ‘Left School’ for the 2024/25 academic year. For example, your Year 1 Badgers class will become your Year 2 Foxes class.

- Please note it is not possible to have more than one class with the same name. Class names/lables during migration need to be unique
- Your Y6 class leavers can be archived, marked as ‘Left School’ at this point. It will be possible to make changes after migration has been completed.
- If your classes are mixed and will need to reorganised for the next academic year, once you have completed the migration process, you can re-import your pupils to allocate them to the correct class.
- It is also possible to download a full list of students, including class, groups, parents and both regular and custom attributes. More details here
STEP 3: Update your Users
- Amend the classes or archive users of Learning Ladders.
- The migration process will update and amend classes users were previously linked to.
- eg, if a user was linked to class 5A, that became 6A, the system will display the new class name
- At this point in migration, you have the option to change the classes users can access or remove their access to Learning Ladders.
If you choose to leave all users as they are, you can make changes to them after the migration process, so it's not necessary to get this 100% correct if you need to verify details.
Step 4: Successful Migration
On this page, users will be given link to helpful pages within their Learning Ladders site, such as Student Import and User Import.
FAQS
How do we move students to other classes next academic year?
If your classes are mixed and will need to reorganised for the next academic year, once you have completed the migration process, you can re-import your pupils to allocate them to the correct class.
If you have the MIS integration the students will move to their new classes upon reactivating the sync so there is no need to re-import manually.
What happens to pupils’ data after they leave the school?
Their data will stay in the system.
Can I make curriculum changes during migration?
If you are making changes to your curriculum for the next academic year, we recommend you publish these changes after you have migrated, so these changes will not affect assessments from the 2023/24 academic year. Once migration is complete, select 'Publish Changes' within the Creation Zone.
Can teachers still add in assessments for AY 2023/2024?
Following migration, if your teachers still need to add in assessments for the 2023/24 academic year then they can do so by selecting 'academic year: 2023/24’ when they note assessments. If they do not do this then assessments will be noted for 2024/25.
Please make sure your teachers still have access to their 2023/24 class if they need to note assessments for the 2023/24 academic year.
What happens to Archived Classes?
Their data will stay in the system and users with student edit permissions can unarchive them if necessary.
Can groups from the prior academic year be seen?
Yes, if you change the academic year selector and view groups, all groups and the students in them will be available to be selected.
Can we update students custom attributes from the prior academic year?
No, as with standard attributes, you are only able to edit the current academic years attributes.
