Process without a MIS Integration

Migration Starts: 1st August 2025
When you log in from 1st August 2025, you'll see a âWelcome Backâ message.
Youâll have two options:

Update Student Data
To assign classes to students, you have two options.
Export a student data file from your MIS
Download Student Data from Learning Ladders and add in class names
Until you update your student data, your dashboard will show all students from 2024/25, but 0 Classes and 0 Groups.

Since each MIS is different, please contact your MIS provider for assistance if you're unsure how to export student data.
Learning Ladders requires the following fields to be populated in order to update a student's data:
- UPN (unique pupil number)
- First Name
- Last Name
- Date of Birth- 18/03/2025
- Gender- Male (M)/Female (F)
- Class- Class Name
- Year / Grade - Year/Grade 1, or 1
It is important that the UPN number used in the file is exactly the same as what is held in Learning Ladders. A difference in UPN will result in a duplication of the student.
If you are unsure which number in your MIS was used for UPNs in Learning Ladders, check a few student's UPNs in Learning Ladders by going to Students > select student > click the eye icon > 'Edit'.
- After exporting the file, please make adjustments to the headers to match those below before importing:
- For schools using the Grades set up, please change 'Year Group' to 'Grade'.
- Save the file as a .CSV UTF-8 format. If you do not save the file in this format, your import will not be accepted in Learning Ladders.
- Go to Students > Import Students and select this saved file.
FAQ: My schoolâs UPNs include leading zeros. How can I prevent the file from removing them?
A: Spreadsheet applications like Excel sometimes remove leading zeros from numbers by default. To prevent this, we recommend previewing the exported file (rather than opening it directly) to ensure the UPNs are displayed correctly.
If the UPNs appear as expected, you can go ahead and import the file into Learning Ladders. If you're still experiencing issues, please contact our support team, weâre happy to help resolve any problems with leading zeros.
Option 2- Download Student Data and add classes
Go to Students > Import Students > Click Download Student Data
The file can be found in your downloads folder.
Open the file and populate the student's class name for 2025/26:
Do not edit the UPN number using this file or the file will not update the student when imported back into Learning Ladders. Contact support@learningladders.info for guidance on how to update students UPNs.
This file can also be used to add any groups, update your attributes or parent details for the student.
Next Steps
There are four key steps you may want to take to ensure your Learning Ladders setup is up to date for the 2025/26 academic year.

Archive Leavers
Archiving leavers is quick and easy:
Go to Students.
Set the Class filter to âNo classâ.
Use the checkboxes to select the relevant students.
Click Select Action > Archive Students.
Add Groups

Option 1: Copy Last Yearâs Groups
Option 2: Import Groups via Student Data Export
Go to Students > Import Students > Download Student Data
In the file, enter the group name each student belongs to.


â Add More Than 9 Groups?
Click on Students, search for the student, mark the checkbox to the left of their name
Click 'Select Action' > Add to group


Assign teacher users to the groups by clicking on Classes & Groups > Groups > View and then 'Add Teachers'

Review Student Attributes
Student attributes are linked to the academic year. This means:
Any changes made for 2025/26 will not affect attributes saved for 2024/25.
Students will retain their 2024/25 attributes unless manually updated for the new year.
â How to Remove an Attribute from a Student
To remove a custom or default attribute from an individual student:
Go to Students
Search for and select the student
Click Edit Student
Remove the unwanted attribute
â How to Add Custom or Default Attributes to a Student
The system includes a set of Default Attributes such as Ethnicity, SEN (SEN Codes), EAL, Pupil Premium, and Looked After Children.
For Custom Attributes, you must first create the attribute by navigating to Settings > Settings > Custom Attributes. Learn more.
You can then add a default or custom attribute to a student in two ways. Learn more.
Update Users
Users will remain in the site after it has migrated. As all classes have been removed, you will need to update the classes you'd like users to have access to.
â How to Add a Class for a User
To add classes for a user:
Go to Settings
Click on Users
Click Export Users
Open the file from your downloads

By default, all users are not assigned to any classes.
To grant access, enter the class names in the fields Class 1, Class 2, etc.
Make sure to update your users after importing students.
You can assign up to 12 classes per user in the import file.
Admin users automatically have access to all classes and student data across the platform.

Note: The export file can only be used to add classes to users.
To remove class access, this must be done manually by going to:
Settings > Users > View, then deselecting the class from the âTeaches classesâ dropdown menu.To change a user's permission from 'Teacher' to 'Admin', you must manually edit this in Settings > Users > View and then change their role using the drop down beneath 'Role'.
